Saturday meeting at Starbucks

Objective:
· Do the executive summary
· Completion of report
· Final touch-up
· Finish up typing in the text of my literature review

Teamwork:
· Ally read the literature review to me so that we can save time and type in the work faster.
· Kenneth and Ally did the executive summary.
· The team did the editing of the executive summary.


Lessons Learnt:
· I am still unsure of what an executive summary is and now I understand that executive summary informs the reader of the points to be covered in the report without any attempt to tell what is said about them.
Reflections:
· Finally we are done with the report! It is a milestone marked!

Objective:

· Find out the areas of improvements to be made with the report.

· Do the final editing to the report

Teamwork:
  • Kenneth and I decided to do the Mindmap of the literature review.
  • Ally continues updating the report with the latest amendment.
  • Dennis continues to do the compilation.
  • Rayson assisted us by doing more proof-reading.
  • Lessons Learnt:

    · Time management – it is actually very tiring to keep doing FYP after school and poor time management can cause many problems. When things are not done on time, it can upset the schedule and certain things will not be done properly. The work will simply accumulate and that might reduce the quality of the work.

    · This might not be very important but I feel that so far, team bonding is very important. If the team is always just doing work and taking no time to know each other better, there is no motivation in the team and everyone will just dread FYP meeting more therefore I am grateful that my team members are willing to work hard and play hard. Always not forgetting to crack some jokes to relax every else when we are all very stressed up.
  • Reflections:
    I feel that the team could have met up with the advisor more often as we would always learn something new from the advisor and is always given professional recommendations.
    It is always important to find out the rationale behind the amendments needed to be made to the report because relying plainly on our advisor will not allow us to learn anything so fortunately my advisor and team members are always very helpful whenever I have a question to ask.

Meeting at E66R

Objective:
· Continue with finishing up the report

· Completing individual task

· Writing the conclusion or the report


Lessons Learnt:
· Kenneth needs to go for check-up with the doctor therefore he would be joining the team later for the meeting. There was slight miscommunication concerning the instruction given by Kenneth which resulted in wastage of a bit of time. It is important all the members to be working towards a common goal!
Reflections:
· The team members are pretty independent and are able to be proactive and take initiative to finished up the work themselves and I think this is really good sign.

· I can feel the stressed as the FYP deadline approaching and interestingly I think people always only feel the urgency when the deadline is approaching. My team mates has been very supportive as they would always try to pull up the team spirit and not let the whole team to feel that we are not going to make it because it is not going to help. Having positive thoughts and belief is good!

· We need to be persistent because by now I see feel the exhaustion myself and see it on everyone’s face. We need to prioritize and know that this is a crucial period so we must work smart now and play hard later!

Meeting in E66R for individual work

Objective:
· Finish up doing my literature review and observations at SBF
· For all team mate to complete their individual work

Lessons Learnt:
I am actually facing some personal problem at this time and i am trying very hard to concentrate and do my work and realize how difficult it is. The more i think about how crucial this period is, the more stressed up I get. I am never good at stress management but i think this taught me to relax and take everything one step at a time. This is my last year in RP and it is very important to do. I do not want all the effort we have put in previously to gone futile. I understand that in life there will always be time when one will feel that Murphy’s Law is really evident at a period of time but i hope that i will always be strong enough to continue everything else which i am supposed to do and set my priority right.
Kenneth set a deadline for all of us to complete our work today and i think it is good because it make sure everyone gives full concentration and try to finish up the work as soon as possible. We were all very serious with out work and even find a room each to do our work and only find each other when necessary.

Reflections:
Even though there is no other agenda other than finishing up individual work, the team still insist on holding this meeting as we see the need to still meet up at least once a week to update each other and to have a meal together as a team. It is a good routine to have.

Meeting November 30th

Objective:
· Come up with a standard way of doing literature review
· Find out each other’s progress
· Reassign new work


Lessons Learnt:
· Kenneth and I actually wanted to do the literature and sort them according to organizer, sponsor and the team so it is easy to see which area of the literature review we are applying to however, we change it by topic to ensure that we will not miss out any information so the new format became,
o Topic
o Literature content
o Inference in relation to Singapore Beer Festival
· There were times when we were unsure about what is written in the literature text and this Sunday meeting allow Kenneth and I to clarify things with each other face to face.
· Kenneth and I then bring our own share back and continue to do our work.


Reflections:
Meeting during the weekend may not be easy as sometimes each member already has their own plan so it is important that the team mates set the same priority and also try to compromise with each other’s plan. We should be grateful that the team are generally good with time management and know clearly that the meeting should be placed before most other activity.

meeting november 24th

Objective:
· Make amendment to the content of the report
· Determine what is the difference between strategies and approaches


Lesson Learnt:
We gone through part of the report that is done and found out that part of the report was rather informal and decided that all the report should be written in the second person point of view as writing in the first person point of view seems informal and like a personal diary.


We discussed for quite awhile and finally came up with this for the report after a few changes:


This will be how we are going to measure the ROI of the sponsor since we do not really have any figure given to us. Most the ROI calculated will be intangible. This will be a good way of how all these three things will be linked and associated to each other.


Also, for what I have read so far for the literature review, I realized there is actually no standard method for evaluating sponsorship even though there are a few commonly used methods like using sales effectiveness, media coverage/exposure and communication effects.

We were then also thinking about the content of the report and thinking if we had miss out anything. We decided to go through the whole process of doing the whole FYP and then slowly picking out what is relevant to include in the report:
· Topic definition
· Short-list and identify event
· Identify sponsor and contact information
· Contact and interview organizer
· Research (literature review)
· Crafting of survey
· Event site visit (field survey)
· Interview sponsors
· Collate
· Analysis
· Recommendation

There were new section included like the roles and responsibility section and the strategy section.

Ally was also having some problem doing with her result analysis and it is a good time to get together to do the analysis together.

· Went through the skeleton of the report

· Assignment of the report content
o Kenneth – introduction, Roles and responsibilities
o Ally – project strategies and approach, result analysis
o Xiu Hui – literature review, applying literature review to recommendation, find more literature review and observation at the field surveys
o Dennis – issues faced and recommendation
o Rayson – result analysis
o Everyone – conclusion

· As submission is closing, we came up with a schedule to make sure we will be on track.

· We think that the results of the ROI will be split into tangible and intangible ROI.

· We also added the sponsors’ profile to the report.

Reflections:
We finally kick start on writing the report and we agreed that we are going to be more busy this period and the other activities would have to be put aside first.

Meeting November 5th

Objective:
· Start on analysis of the public survey
· Complete keying in all the data to SPSS

Lesson learnt:
· This is the first time we are doing the analysis together and interestingly there were really many new ideas coming in for everyone until we really had to keep interrupting while each other are talking. It was kind of funny until we had to decide that only one person at a time. We all had different set of ideas about the way of analyzing and way of doing thing because of our different way of doing things previously.
· There were some questions which could be asked in a better way such as the recognition and familiarization of the sponsors, after reading through the literature review, I felt that it could be better to ask the public to list the sponsors which they can remembering seeing from this event rather than listing them out for them to check because they actually only check them as they only recall it when we mention it again and not because they really do remember it. We found out new ways which how the questions could be better and more effectively developed to get to the objective of the question.
· We have also selected the questions to be crossed tab and realized there are many analyzing work to be done.
· It is funny that we found out majority of the publicity were made by word-of-mouth and this is very uncommon and not like what the organizer had planned. Its show the failure of the publicity effort made to a certain extent as the publicity made by word-of-mouth far exceed the intentional publicity efforts made. This is show futile in publicity effort.

Reflections:
I am quite excited to do the analysis because it is the most important aspect of the report which will affect the recommendation and conclusion of the report. It is like the official beginning of report writing!
This meeting is very fruitful to me because it opens us up to many new ideas and many different ways of looking at things for the analysis. I also think that rephrasing out findings feel very fun for me maybe because I like playing with the words and get a sense of satisfaction when we get the genuine message that we want to deliver out of the sentence.

Objective:

Meeting Details:
· We edited the skeleton and of the report and restructure the whole thing.
· We would need to recall and make use of as many things as we can remember from what the sponsors say and from what we had observed ourselves.
· There was a discussion about why we need to do literature review and I said that we do not know any official evaluation methods therefore we would need some literature sources which are more credible for finding ROI evaluation methods. We would also be given reasons as to why sponsors want to sponsors some events and knowing the common reasons allow us to give better recommendation or our report.
· We also shared with Christine the photos taken at the Singapore Beer Festival.

Meeting 5

Objective:
· To key in the results of the public surveys using SPSS
· Come up with a date for finding literature review

Meeting Details:
· Ally and I have used SPSS before and therefore we wanted to teach the rest on how to use it.
· We will be using the SPSS to collate the quantitative result and Microsoft Excel to collate the qualitative result.
· The rest of the members collate the results in Microsoft Excel as they do not have SPSS in their laptop and would need to install them first.

Reflection:
Frankly speaking, I dread to use SPSS as I don’t think it is a fun thing to key thing the data in SPSS but it was nevertheless useful to do so. Fortunately Ally is very good at SPSS so she can still guide me when I have forgotten what to do for SPSS.

Actual Day of Field Survey Day 1 to 3

Day 1
Objective:


· Start with the public survey
· Show Matt Bennett (organizer) our public survey to let him approve it

Field Survey experience:
There seemed to be a little communication breakdown between the organizers themselves as one of the organizer do not want us to go into the event and conduct our survey as they were afraid that we might be a nuisance since there is another group of people there conducting their own survey too. Fortunately we managed to resolved it later and able to enter the event and conduct our own survey. I was a little nervous but excited as I love talking to people knowing that we had to begin to do our survey. Doing the survey at Singapore Beer Festival was amazing quite an easy task for me (nevertheless very tiring since I came down from school) as the people were very friendly and very willing to share. It may be due to the fact that most people there which I have interviewed are Caucasians and I must say that they are more willing to share and will not shun away like majority of the Singaporeans will do upon hearing the word ‘survey’. I am really grateful for that!

There are mainly 3 things which I have learnt from doing this field survey:

· Smile – it immediately makes people feel better and will be more open to you and I must say smiling always make people feel better and it always work and it makes yourself feel better too.
· Be interested and chat with people – everyone enjoys talking to people who listens, if I had just shown people that I am just talking to them just for the sake of completing this survey, no one will really be interested to share with me. I tried asking them casually about how was their day and have a small chat with them. I am surprised with how much more feedback they give me after chatting for awhile and also knowing that I am interested to get their feedback and opinion on how the next Singapore Beer Festival could be better. This is not the time to be shy and it just gets better one after another!
· Perseverance – after about 2 hours of running around and talking to people non-stop, I have to say that we were really exhausted but since I know we haven’t got enough surveys, I told myself that I cannot give up yet and other members were trying their best.





Day 2
Objective:
· Complete the sponsors interview

Field survey details:
· Dennis, Ally and I joined Kenneth and Rayson after our UTs and when we reached there they have already done interview with 3 sponsors and we were impressed. They were fats and efficient! We had a really hard time looking for Mr. David Lim from FHM and in the end we still did not get to talk to him. We stayed till really late and I was really exhausted and took cab home after that.

Day 3
Objective:

· Came back to do interview with AMEX

Field survey details:
· We were really relieved that the representative form AMEX was friendly and was easy to find. It is a milestone marked as all the sponsors interview are completed!

Crafting of Survey

Objective:
Craft out the sponsor’s and public survey


Meeting Details:
· Brainstorming session to craft out the survey questionnaires
· We try to be very objective and set every question with a clear objectives.
· It was not very difficult as we have previously set surveys questions for our previous FYP before.
· Questions for the public surveys are mainly about their knowledge for the sponsors
· Questions for the sponsors are mainly about what they hope to get out of sponsoring this event.


Reflection:
Doing this brainstorming session is important and useful as we were able to come up with almost all the questions together and were happy that the questions crafted were straightforward and not difficult to answer so it will be convenient for the attendee but at the same time still useful for us.

library visit and meeting with organizer

Objective:

· Meet up with the organizer, Matt Bennette, before the event starts
· Search and borrow books for literature review

Meeting Details:

· We were very excited to meet up with Matt Bennette and were happy that he was very willing to share.
· We wanted to find out from the organizer how did he get the sponsors for the event and what is he giving the sponsors for sponsoring this event.

Analysis:

· It seems like the organizers were not really focused on getting sponsorship for this event as they did not offer any sponsorship package.
· The organizer is mainly given beer and tents in return for sponsorship.
· They only started planning for this event last year.
· LOWE is sponsoring for their refrigerator.
· It is still surprisingly that despite the organizer not focusing on sponsorship, they are still getting so many sponsors. I think it has to do with the fact that it is under the Uniquely Singapore calendar and also since it is the first of a kind event being held in Singapore, many sponsors would want to take this opportunity to gain exposure. However, if they want to retain the sponsor, they will need to know how to manage the sponsor which we will be including in our report.

Reflection:
This is like a last minute before meeting up with the organizer i am very excited and a little nervous as we were very happy that the organizer has agreed to meet up with us even though the date of the event is so near. Coming with the list of questions and the thing we are interested to find out will ensure we will not miss out any information we need tomorrow. We are now all prepared to go tomorrow!

· We came up with the blog address and it was pretty fun coming up with all the weird names at first for the blogname.
· The email for the organizer were also crafted and sent out to three different persons as we do not know who is the main organizer we should contact. We hope that we will be getting reply!
· The team decided on this blog link fyp2team8-“our NAME”.blogspot.com
· This is my first time crafting out email for organizer and I was at loss initially but thankfully my other team mates were there and it was not really difficult, just like any other email even though we did put in a lot of effort and spent quite a bit of time on it.
· The email was crafted out in a more casual way as we thought that Singapore Beer Festival is a fun event so we will not want to bore the organizer.
· Dennis sent out the email to everyone.

· This is our topic:

· After going through many event on the Uniquely Singapore calendar, we have decided to pick out Singapore Beer Festival as it seems really interesting and it is the first of such event to be held in Singapore.
